Data protection

With this data protection information, GRS wants to inform its website users and visitors about the purpose, type and scope of its processing of personal data. The GRS website is constantly being revised and developed. This means that this data protection information is also updated on a regular basis.

Here you will find information on the following areas:

  • Personal data we collect about you;
  • Cookies and other technologies we use;
  • Who we give your information to;
  • Where we store your data;
  • How we protect your data;
  • How long we keep your data;
  • Social media;
  • your rights;
  • Changes to these data protection regulations.

By sending us an e-mail you agree that you have read and understood these guidelines.

All information received from you is handled in accordance with the requirements of the Federal Data Protection Act (FADP). By providing us with your data, you agree that we can process your data for the purposes expressly stated when you entered the data or that are obviously related to the sending of your data. This concerns your project entries in particular.

GRS only collects personal data that is related to our relationship with you. The data collected by us includes in particular your contact details such as name, telephone number, address or e-mail address as well as other details, especially in connection with a grant application and the use of our website. In contrast, information that cannot be linked to your identity (e.g. statistical data on the number of users of our online service) is not considered personal data.

Personal data will be treated confidentially and will not be disseminated outside GRS and its external network of experts, whose representatives will themselves be asked to keep the information confidential. When completing and accessing an online application, you will need to create your own password.

We will only pass on your data to third parties if we are legally authorized to do so or if you have given us your consent to do so. External service providers who process data on our behalf are subject to strict obligations under the Federal Data Protection Act. We have made sure that the external service providers are able to ensure data security.

In addition to the information directly linked to the project entries, we use your data to inform you about GRS funding opportunities and the networking events connected with our grant-making activities.

GRS stores your data for as long as our business relationship with you requires it or we have a legitimate interest in its further storage. In all other cases we will delete your personal data with the exception of data that we must continue to store in order to fulfil legal obligations (e.g. we are obliged by law to store documents such as contracts and invoices for a period of 10 years).

The project data associated with a funded project are published on this website for the purpose of a transparent information of GRS to the public. The project management is responsible for the content of this information.

Website

You can in principle visit our website without having to provide any information about yourself. When you visit our website, our servers make a temporary record of each access and store it in a log file. The following technical data is collected and stored, until it is automatically deleted after seven months at the latest:

  • The IP address of the accessing computer;
  • The time and date of access;
  • The website from which access is made, possibly with the search term used;
  • The name and URL of the file called up;
  • Search queries performed;
  • The operating system of your computer (provided by the user agent);
  • The browser used by you (provided by the user agent);
  • Device type if accessed by mobile phone;
  • The transmission protocol used.

This data is collected and processed for the purposes of ensuring system security and stability, error and performance analysis, and internal statistical purposes, and enables us to optimize our Internet offering.

Web analysis

We use the following technology in order to analyse and optimize our website: Google Analytics from Google LLC based in Mountain View, California, USA (hereinafter «Google»). Google is certified under the Swiss-U.S. Privacy Shield Agreement.

Google uses «cookies», which are stored on your computer. Cookies are small text files that are automatically stored on your computer when you visit our website. If you call up the page again, your browser will return the content of the cookies to us, allowing the device to be recognized. We use cookies to optimize our website and make it easier for you to use.

The tracking data collected by the cookies about your use of the website will be transmitted to and stored by Google on servers in the United States. The user profiles created by this tool using analysis cookies are not merged with personal data. The IP address is thus anonymized during transmission to Google before it is saved, so that it can no longer be associated with you. Google uses the method _anonymizeIp() to do this.

Through the use of this website, in addition to the data listed above, the following data may be stored and evaluated anonymously and exclusively for statistical purposes:

  • Navigation path that a visitor takes on the website;
  • Length of stay on the website or subpage;
  • Subpage on which the website is left;
  • Country, region or city from where access is made;
  • End device (type, version, colour depth, resolution, width and height of browser window);
  • Returning or new visitor.

Google may extend this list and, if appropriate, transfer information to third parties if permitted by law or if third parties process this data on behalf of Google.

Social media

The GRS website includes links to social networks, in the case of GRS to Twitter. You can recognize the link by the provider’s logo. When the user clicks on the link, the corresponding social media site opens, which is not covered by this data protection statement. For details of the conditions that apply to these sites, please see the relevant data protection statements on the provider’s website.

No personal information is sent to the provider in question before the link is clicked. Your retrieval of the linked page forms the basis for data processing by the respective provider. We have no influence over the data processing operations, nor do we have any knowledge of the full extent of data collection, the processing purpose and the storage periods. Neither do we have any information regarding the deletion of the data by the provider of the plug-in.

Data security

Please be aware that the Internet is an open global network. When you transmit personal data via the Internet, you do so at your own risk. GRS uses suitable technical and organisational security measures to protect your personal data stored against manipulation, partial or complete loss and against unauthorised access by third parties. Our security measures are continuously improved in line with technological developments.

The personal data you transmit is encrypted and protected using 128-bit Secure Socket Layer (SSL)[1]. Despite extensive technical and organizational security measures, it is still possible for data to be lost or be intercepted and/or manipulated by unauthorized persons. GRS takes the appropriate technical and organizational security measures to prevent this happening within the GRS system. However, your computer is outside of the security area controlled by GRS. It is up to you as the user to find out about the required security precautions and to take appropriate measures in this regard. Under no circumstances is GRS liable for any damage that you may incur from data loss or manipulation.

All GRS data is stored in Switzerland and secured by regular backups.

Project data is kept for 10 years for legal reasons, although the data can be archived beyond this duration for statistical reasons.

[1] Secure Socket Layer (SSL) is a protocol for the secure transmission of data on the Internet, and is supported by most browsers. SSL uses the public-key process, in which data encoded with a public key can only be decoded with a specific private key. Most browsers display a key or padlock to indicate whether a connection is secure.

You have the following rights with regard to your personal data:

  • You can request a copy of the personal data that we store about you.
  • You can request that your personal data be corrected, augmented, blocked or deleted, unless it is linked to your funding project on our website.

To exercise these rights, please send us an e-mail. See Contact.
